Everything you need to know about BeOnTime
Getting Started
What is BeOnTime?
BeOnTime is a Mac menu bar app that ensures you never miss meetings by providing loud, unmissable alerts that appear on top of all your windows. Unlike silent calendar notifications that are easy to miss, BeOnTime's alerts demand your attention with persistent audio and visual reminders.
How do I install BeOnTime?
BeOnTime is installed automatically via the Mac App Store. Once the download finishes, you can find the app in your Applications folder or Launchpad.
How much does BeOnTime cost?
BeOnTime offers two subscription options:
- Monthly subscription: Check the Mac App Store for current pricing
- Annual subscription: Check the Mac App Store for current pricing (save compared to monthly)
Is there a free trial?
Yes! BeOnTime offers a free trial period so you can experience the full functionality before subscribing. You can cancel anytime through your Mac App Store subscriptions.
What versions of macOS are supported?
BeOnTime requires macOS 13.0 (Ventura) or later for full functionality, including the Launch at Login feature.
Setup & Permissions
Why does BeOnTime need access to my calendar?
The first time you launch the app, macOS will ask you to grant permission for BeOnTime to access your calendar. Please click OK.
BeOnTime needs calendar access to read your upcoming events and meetings. We only read event data to display alerts - we never modify, delete, or share your calendar information. All processing happens locally on your Mac.
What if I denied calendar permissions?
If you accidentally denied permissions:
- Open the app and you'll see the Calendar Permission screen
- Click "Open System Settings"
- Find BeOnTime in the list and toggle the switch to ON
- Return to the app and click "Check Permission Status"
Does BeOnTime work with all calendar apps?
BeOnTime works with any calendar that syncs with your Mac's native Calendar app, including:
- iCloud Calendar
- Google Calendar
- Microsoft Outlook/Exchange
- Any CalDAV calendar
Using BeOnTime
How far in advance will I get alerts?
By default, alerts appear 10 minutes before your meeting. You can customize this in Settings from 1 to 60 minutes.
What are my options when there is an Alert?
The alert window is how you are remineded about an upcomming meeting:
- Countdown Timer: Turns red when you have less than 2 minutes.
- Open Meeting: One-click launch for Zoom, Meet, or Teams.
- Snooze: Temporarily dismiss the alert.
- Dismiss: Permanently dismiss the alert.
Can I stop the alert sound?
Yes! You have several options:
- Disable all audio alerts in Settings
- Turn off "Persistent Audio Alert" for single-chime notifications
- Click any button in the alert window to stop the current sound
- Snooze or dismiss individual alerts
What's the difference between Snooze and Permanently Dismiss?
Snooze: Temporarily dismisses the alert for 1-60 minutes (adjustable), then shows it again
Permanently Dismiss: Closes the alert and adds the event to your ignore list, preventing future alerts for this specific meeting
Permanently Dismiss: Closes the alert and adds the event to your ignore list, preventing future alerts for this specific meeting
How do I prevent alerts for recurring events like "Lunch Break"?
Simply check the "Ignore" checkbox next to any event in the main window. The event will appear struck-through and italicized, and no alerts will show for it.
Can I have alerts appear on multiple monitors?
Yes! Enable "Show Alerts on ALL screens" in Settings to have the alert window appear on every connected display simultaneously.
Meeting Links
Which video conferencing platforms are supported?
BeOnTime automatically detects and can launch:
- Zoom
- Google Meet
- Microsoft Teams
- Any URL in your calendar event's location or notes field
What if the "Open Meeting" button doesn't appear?
The button only appears if BeOnTime finds a valid meeting URL in your calendar event. Make sure the meeting link is in the event's location field or description/notes.
Advanced Features
What is "Alert continues after meeting start"?
This feature keeps the alert ringing even after the meeting has technically started, giving you a cushion of 1-15 minutes (configurable) to join late meetings. Perfect for back-to-back calls where you need a few extra minutes.
How often does BeOnTime check my calendar?
By default, every 15 minutes. You can adjust this from 1 to 120 minutes in Settings, or manually refresh anytime with Cmd+R.
Can BeOnTime start automatically when I log in?
Yes! Enable "Launch BeOnTime at Login" in Settings (requires macOS 13+).
Will alerts show when my screen is locked or the screensaver is active?
Audio alerts are automatically paused when your Mac is locked or the screensaver is running. They resume when you return to your desktop.
Troubleshooting
The app says "No products returned" or can't load subscriptions?
This usually means:
- The App Store is temporarily unavailable - try again in a few minutes
- Your Mac isn't signed into the App Store - check System Settings > App Store

I purchased but the app still shows the paywall?
Try these steps:
- Click "Restore Purchase" in the paywall screen
- Ensure you're signed into the Mac App Store with the same Apple ID used for purchase
- If still not working, quit and relaunch BeOnTime
Alerts aren't appearing for my meetings?
Check that:
- Calendar permissions are granted
- The meeting isn't marked as "Ignored"
- Your calendar is syncing properly with macOS Calendar
- The meeting is within the next 24 hours
- You haven't already dismissed or snoozed the alert
How do I cancel my subscription?
Subscriptions are managed through the Mac App Store:
- Open App Store > Account (bottom of sidebar)
- Click "Manage" next to Subscriptions
- Find BeOnTime and click "Edit"
- Choose "Cancel Subscription"
Privacy & Security
Is my calendar data private?
Absolutely. BeOnTime:

- Doesn't require an internet connection except for subscription validation
Why does BeOnTime need to run in the background?
BeOnTime runs as a lightweight menu bar app to continuously monitor your calendar and provide timely alerts. It uses minimal system resources and you can quit it anytime from the menu bar icon.
